Manage the mental juggle, with a simple system

The 4 D's: Do it, Diarise it, Delegate it, or Dump it

In the quest to make the most of our time, we all need practical systems to manage tasks effectively

 ‘Time management’ as a concept – does not excite most of us BUT mastering this skill set can really help free up your mental load. It can transform those days when your to-do list seems never-ending & the hours slip by faster than you’d want, - in order to complete your work

Sure, there’s apps & programs that are a great support, but managing the influx of tasks in the first place can create overwhelm, in even the most level-headed of us all

Here’s a solution to prioritising all incoming tasks: Known affectionately by some as The 4 D's: Do it, Diarise it, Delegate it, Dump it

It’s a simple but powerful approach to help you streamline your to-do list & boost your productivity. Here we delve into each of these strategies & see how they can transform the way you manage your daily ‘list’


1. Do it

The first "D" stands for "Do it." It's as straightforward as it sounds. If a task can be completed in a short amount of time & requires your specific skills or expertise, do it right away. Tackling tasks immediately not only ensures they won't pile up but also provides a sense of accomplishment that can boost your motivation to continue being productive. My approach is to consider the task, if it will take five minutes or less, then I complete it, rather than procrastinating

For example, if you receive an email that can be answered in a few sentences, don't put it off; reply promptly. This principle of taking action immediately on small, manageable tasks can significantly reduce your workload & free up time for more important activities. Get it out of your head, off your list & DONE!

Now there are limits to this, I will only do a small number of ‘now’ type tasks consecutively (three max), if there’s several small tasks then you can also batch them up into the second D – Diarise it

2. Diarise it

Our next "D" is for "Diarise it." Some tasks may not be suitable for immediate action, but are essential &/or time-sensitive. Schedule these tasks into your calendar for a specific date & time, I usually make a quick note with any relevant details, so my future self knows what’s required. When you immediately allocate dedicated time to tackle these tasks, you prevent them from slipping through the cracks (or playing on your mind & distracting you)

For instance, if you have a project deadline or have just stepped out of a meeting with a list of next steps, add a dedicated block of time to your calendar; list the tasks, &/or add a screen shot of your notes. Then when you are ready, you can focus to create a detailed plan of action. This gives you, a place to start, for creation of a clear roadmap, of critical tasks

Add your task to your calendar or diary at a time that’s better suited to working on it

3. Delegate it

"D" number three is "Delegate it." Many tasks can be effectively handled by others. As a leader, delegating responsibilities is a critical skill. It not only lightens your workload but also empowers others to contribute to your team's success

Identify tasks from your list that someone else can handle, considering their skills & capabilities, delegating becomes a win-win situation. It allows you to focus on higher-priority tasks, while helping others to develop their skills & take on more responsibility. Effective delegation is a hallmark of good time management & leadership. 4. Dump it

Our final "D" is "Dump it." Not all tasks on your to-do list are created equal! Some are less important or not even necessary, we can all fall into the trap of just working our way through the list without considering whether it’s a good use of our time. Some may be distractions or no longer relevant to your goals? Assess whether some can be eliminated or postponed indefinitely. The "dump it" approach prevents you from spreading yourself too thin & helps you maintain focus on what truly matters

When considering whether to dump a task, ask yourself :"Is this task aligned with my goals & priorities? Does it add value to my work / life?" If the answer is no, it's time to let it go. Remember, your time & energy are finite resources, so use them wisely
